Privacy Policy — Pinoy SDA Assistant

Pinoy SDA Assistant ("the bot") is operated on behalf of the Filipino Seventh-day Adventist Church in Singapore (FSDAC). On Facebook Messenger, it answers questions about the church, its services, Gospel Weekend, and how to get there. Gospel Weekend registration is handled separately on the web app at gospelweekend.fsdac.app — this policy covers both Messenger Q&A and web registration.

Agreeing to this policy

Messenger does not ask you to agree to this policy before chatting; messaging the bot is enough to receive answers about FSDAC. When you register for Gospel Weekend on the web app, you must agree to this Privacy Policy (via the checkbox in the registration form) before your registration is submitted. Details of what registering collects are set out below; email and address remain optional (see "Your choices").

What information we collect

When you message the bot on Messenger, we receive:

• A Facebook-assigned sender ID for your conversation, and — when Facebook shares it with the page — your first name, so the bot can address you occasionally.
• The text content of the messages you send to the bot.

If you choose to register for Gospel Weekend on the web app, we also receive:

• Your name and mobile number, which are required, and — unless you skip them — your email address and address, location, or area. By agreeing to this Privacy Policy on the registration form, you consent to this collection. You can still register without providing email or address if you prefer.
• The timestamp you agreed to this Privacy Policy on the registration form.
• A registration identifier generated for that submission, used to store and administer your registration.

If you send a question for the speaker on the "Ask a question" page, we also receive:

• The text of your question, with the evening Q&A it is for (recorded automatically from the time you send it).
• Your name, only if you choose to type it in. Questions can be sent anonymously, and no contact details are asked for unless you choose that your question is a follow-up to an earlier one (see below). If you add your name, it may be shown on the screen during the talk along with your question.

If you browse the questions page and tap "Ask this too", we record that one more person would like that question asked. This is only a count and is not linked to you. If you also tick the box to be contacted, or you send a question as a follow-up to an earlier one, we receive:

• Your mobile or WhatsApp number (required, so that we can contact you).
• Your name and email address, only if you choose to type them in.

How we use this information

• To generate a relevant reply to your Messenger message using an AI language model.
• To temporarily store recent conversation history (up to the last 10 exchanges) and, when available, your first name, so the bot can keep context and address you from time to time.
• To create your Gospel Weekend registration (when submitted on the web app), including which dates you plan to attend, and contact you about the event if you provided contact details.
• To let the event organisers review the questions people send in and, if approved, show them to the speaker and the audience during the talk.
• If you asked to be contacted about a question, to contact you about it and to follow up with you. These details are seen only by the event organisers.

How long we keep it

Conversation history is automatically deleted after 7 days of inactivity. We do not retain a permanent log of individual conversations beyond this rolling window. Submitted registration details, including whether dates or contact fields were provided and when you agreed to this policy, are stored for event administration until the church deletes them. Submitted questions are stored in the same way, for event administration, until the church deletes them. Contact details you leave to be contacted about a question are deleted automatically 6 months after you send them, and you can ask us to remove them sooner at any time.

Event photos

We take photos at Gospel Weekend and may show them in the photo gallery at gospelweekend.fsdac.app/gallery so that attendees can look back on the event. The gallery shows the photos only: no names, and no location or camera details (we remove those before a photo is published). The gallery is not listed by search engines. If you appear in a photo and would like it taken down, contact us at fsdac@adventist.org.sg and we will remove it.

Organiser activity log

To keep the event's admin tools secure and to put mistakes right, we keep a log of what event organisers do while signed in: when they sign in and what they change (for example, checking someone in or editing a registration), with the date and time. The log names the registration that was changed but does not repeat its contact details. Each entry also records the type of device and browser used (for example "iPhone · Safari") and the IP address the organiser connected from: the full address when they sign in, and a shortened one (the last part removed) for other changes. Only event organisers can see this log. The IP address and device are deleted automatically after 90 days; the record of what was changed stays for event administration.

Third parties involved in processing

• Meta / Facebook Messenger Platform — delivers your messages to the bot and the bot's replies back to you, governed by Meta's own Privacy Policy.
• Anthropic (Claude API) — processes message text to generate a reply. Message text is sent to Anthropic's API for this purpose only.
• Cloudflare — hosts the bot and web app infrastructure (Workers, storage, database) that runs this service.

What we don't do

• We do not sell your data.
• We do not use your messages for advertising or profiling.
• We do not share your data with anyone beyond the processors listed above, except as required by law.

Your choices

You can stop using the Messenger bot at any time by simply not messaging it. Within web registration, you can skip providing your email or address, or leave before submitting — in each case, we only collect what you've explicitly chosen to provide. Name and mobile number are required to register. If you would like your conversation history or submitted registration details deleted, contact us using the details below.
